First a big thank you for agreeing to lead your trip(s) and share your love of birds and the outdoors with others.  This is why the club was founded over 100 years ago and continues to move forward with this tradition!

Our goal in sending these three requests to Trip Leaders is to clarify how to communicate efficiently and consistently with HAS members.

The three requests ARE as follows:

A. Trip Changes:

Trip leader should use ALLHAS email address shown below to notify

people of any important updates such as cancellations or updates to date or time.

(AllHAS email address:  AllHAS@hartfordaudubon.org).
Prior to trip: Trip leader(s) are encouraged to send out a reminder using AllHAS email

Below are more in-depth explanations of these requests as well as instructions on using AllHAS.

 

B.  Trip Changes/Weather Postponements, etc. Just in Case:  In the rare instance that a trip has a date change or is cancelled, trip leaders should put out an ALLHAS email clearly explaining what trip, and scheduled date/time and if postponed a new date and copy Mona at mcavallero1@comcast.net for the Website so any changes are posted. Having a backup trip leader or planned co-leader will hopefully keep the need for cancellations to a bare minimum.

C. Trip Reports:  Within a few days, please submit a Trip Report using ALLHAS to send out your trip report. This can be range from narratives with a lot of description or a minimalist style with just the basics. HAS keeps archives of bird trips since 1910 and it makes a great history for our club.

Include any information you can about the trip, starting with the name and date.  If you feel creative and want to include pictures or a short mention of highlights, that’s fine, but not necessary.  In addition to the name/date of the trip, is the number of people and a list of the birds seen and/or a few of the most interesting finds. It is also helpful to note how many new birders or people new to HAS. Posting an EBIRD list from your trip is also helpful.

You can ask a co-leader or other trip participant on the trip to write a trip report if you prefer.  If you need assistance with a trip report, please reach out to Sandi Jones frogcop@gmail.com

If using photographs, please ask any people who might be in the photo if they are comfortable having their photo taken and submitted to the HAS media (Website, Crest, Facebook, etc.)

Prio to your upcoming trip – suggested 1-2 weeks ahead of time.  Please consider sending out an ALLHAS reminder of your upcoming trip.  Every trip leader will have their own style from minimalist to more extensive description.  At a minimum please include:

  • Reminder of upcoming trip:  Location and date and time of trip and trip leader(s):
  • Any information that may be relevant, such as remember to bring… (bug spray, boots, etc.) any weather-related concerns.
Instructions on how to send an AllHAS E-mail to club members:
  1. Open a new balnk email.
  2. In the “To” line of your e-mail enter ALLHAShartfordaudubon.org.   In most cases, as soon as you type the first few letters, your e-mail will recognize the address and complete it for you.
  3. ALSO cc the following people:
    Mona Cavallero, Sandi Jones and Will Bugden
  4.  Put in a subject – something like “Hartford Audubon Bird Walk – Greenstone Hollow”.
  5.  Type whatever you want in the body of the e-mail and send it.  It will appear as coming from you via AllHAS.
